Data analysis reveals over $100,000 in potential savings through intelligent consumables management.

Three recent audits of Managed Print Services (MPS) contracts reveal that Nubeprint’s intelligent thresholds are associated with potential savings of more than $100,000 in consumables. Most interestingly, these customers still have room to improve their profitability without needing to sell a single additional page.

The secret lies in knowing when to replace a cartridge

One of the main sources of inefficiency in MPS contracts is the premature replacement of consumables. Replacing a cartridge before its capacity is exhausted means wasting money, even when service operations appear to be running smoothly.

Nubeprint addresses this problem through proprietary algorithms that calculate the remaining useful life of each consumable in days, enabling users to anticipate actual needs and receive intelligent alerts indicating the right time for replacement.

The results of three audits conducted at mid-sized MPS service providers, covering more than 9,600 consumable installations over a six-month period, reveal extraordinary differences between replacements conducted with and without prior alerts.

Across all three environments analyzed, average waste for installations with alerts—that is, those in which the operator acted on the notification generated by Nubeprint—ranged from approximately 1.5% to 3.1%, compared with 25% to 32% when no prior alert was present, meaning the operator disregarded the consumables delivery and replacement guidance provided by the system.

The combined counterfactual assessment exceeds $108,000 in potentially preserved consumables value, based on indicative publicly available prices. This is an economic estimate of the benefit associated with the alerts, not certified accounting savings.

There is still money left on the table

Even when using Nubeprint, the audits identify more than $16,000 in additional waste above the 3% threshold considered acceptable.

A huge portion is concentrated in replacements conducted without alerts. This highlights an opportunity for improvement that depends on each organization’s operational practices and how consistently it follows the system’s recommendations.

The next level of savings: optimizing organization

However, making better use of cartridges is only part of the equation.

Nubeprint also helps reduce planning costs through its Order Consolidation feature, which automatically consolidates consumables requirements to optimize shipments.

In addition, its Local Stock feature enables dynamic control of inventory held at customer premises whenever necessary or appropriate.

Three levels of optimization—intelligent consumption, consolidated orders and dynamic local stock—that make Nubeprint a tool for continuously improving the profitability of MPS contracts.
